“Most process managers think they use ideal full-time equivalent resources to finish their daily work volumes, do you also think so? You may be right, but decide after exploring this little known secret called ‘Lean Magic template’ (a part of Certified Lean Expert study material) to optimize full-time equivalent resource utilization.” Read further.
Hemanth is a process manager working in a healthcare charts processing unit. He is under constant pressure to lessen his team size owing to cost cutting measures. He thinks there are just enough people to finish the daily work volumes with needed turnaround time and quality. He negotiates with his management but to no benefit. His management has given him an ultimatum, either he lessens his team size or gives way for someone else to do it. He makes an obvious choice – lessen his team size. What did he do? Did he succeed in his mission? Here is the story…
There are eight steps to complete one healthcare chart as shown below.
Hemanth imports the files in the beginning of the shift; he then allots the files to various operators based on their skills. Then coding, demo entry, exception handling and validation take place on the file before it is finally submitted on to client server.
He measures the current state: He spends much time and carries out time study at each step. He records the average time by chart. He then compiles the data in a Lean Magic Template he downloaded from web.
Analysis of data using the template: Lean Magic Template suggests: “He should be using 5.06 full-time equivalent operators instead of 14 now used. Not only this, the template also divides 5.06 to eight steps of the process. It is indeed a powerful yet simple template that Lean principles of balance and flow to customer demand. The template suggests, current process efficiency is 40.24%. Hemanth decides if “I can improve my process efficiency to 85% then I can complete the same workload using fewer than half the people I now use”.
Optimization of resources: Based on the template he realizes he should,
- Lessen the cycle time in steps 1, 2, 4 & 7.
- Combine steps 2 & 3.
- Increase full-time equivalents in step 6
- And make no changes to steps 5 and 8.
He hadn’t learned so much, so fast in his entire career! He never imagined he could do so much in so little time and without any external support. This way he could lessen full-time equivalents from 14 to 6 with self-help magic.
No obligation download: You can download ready to use Lean Magic Template that Hemanth downloaded, it comes with user guide, it is designed for self help, easy to understand and apply to your work area within no time.
